Choosing Commercial HVAC Software for a Small Shop: What to Check Before You Switch
If you are reading this, you probably have a few commercial or property manager accounts and a system that is starting to creak. Maybe it is spreadsheets and paper. Maybe it is generic field-service software that treats every customer like a homeowner with one address. Either way, you are wondering whether something else would handle this side of the business better. Here is what to check.
Know What You Need Before You Shop
Keeping accounts renewing, covered in Keeping Commercial and Property Manager HVAC Accounts Renewing Year After Year, depends on your systems as much as your techs. The right software makes the good habits easy. The wrong software makes them a fight.
Before you look at any product, write down your actual commercial work. How many accounts? How many addresses per account? What kinds of buildings? Do managers want monthly billing? Is any of your work on central plants or large campuses? Your answers decide what matters.
One Client, Many Addresses
This is the first test, and many tools fail it. Can a property manager be one client with many addresses underneath, each with its own map pin, equipment, notes, schedule and history? Or do you have to create a separate customer for every rental?
If you have to fake it, every other feature suffers: billing, reporting, communication. In HVACBossPro, one client with many addresses is the basic structure, laid out in One Account, Many Addresses: How HVACBossPro Organizes Commercial and Rental Clients.
Equipment Records Per Address
Can each address hold the system type, brand, model, serial, year installed, tonnage, filter size and unit location? Does it show up on the tech's phone on every visit, or does the tech have to dig for it? A free-text notes box is not an equipment record. Look for real fields that show up where the tech needs them.
Recurring Visits That Come Due
Can you set quarterly or spring-and-fall visits per address and have them come due on their own? Is there a view of everything that is due, ideally on a map, so you can group visits by area? Can you tell at a glance which visits are overdue?
HVACBossPro sets recurring work by minimum days between visits and shows due visits on the Waiting List map, colored not due yet, due now and overdue past a 7-day grace.
Monthly Statements by Account
Ask how the software bills a property manager with thirty rentals. If the answer is thirty invoices, keep looking. You want one statement per account per month, with every line labeled with the address. That single feature can decide whether a manager stays with you.
Photos, Approvals and Texting
Check the rest of the commercial workflow:
- Photos: can techs take before and after photos that stay with the job?
- Quotes: can the manager approve an estimate online, and does the approved estimate become the scheduled job?
- Texting: is there two-way texting from the office, so manager conversations do not live on a tech's personal phone?
- Access notes: do lockbox codes and business hours show on the tech's card?
- Tags and custom fields: can you mark accounts Commercial and store PO numbers and approval limits?
Fit and Honesty About Limits
Be wary of any software that claims to do everything. The big enterprise HVAC platforms are built for large mechanical contractors and central plants, and they come with the setup time and complexity to match. Generic field-service software is often too thin for multi-address accounts. A small shop wants something in between.
HVACBossPro is built for residential and light commercial work: rentals, apartments, offices, retail, restaurants, churches and small warehouses. Large campus and chiller plant work is outside its typical use, as covered in Large Campuses and Chiller Plants: Where HVACBossPro Fits and Where It Does Not.
Price and Switching
Look at what you will pay every month and what it takes to get started. HVACBossPro plans are $59, $89 and $199 per month (Start, Pro and Crew), with commercial accounts on every plan and a 14-day free trial with no credit card. A CSV import brings in your existing customers and a manager's address list, and imported addresses are placed on the map automatically.
The best test is real work. Set up your biggest commercial account during the trial, add a few addresses with equipment, put a week of visits on the board and send one test statement. You will know quickly whether it fits. For the full picture, see the HVACBossPro commercial HVAC software page.
