Auto-Charge on Completion: HVAC Billing That Runs When the Tech Taps Complete
In most HVAC companies, billing is a separate job that happens after the real job. Somebody collects the paperwork, types the invoices, sends them out, and waits. Auto-charge on completion folds all of that into one tap on the tech's phone.
From Card on File to Automatic
Getting cards on file in the first place is covered in Card on File for HVAC Customers: Getting It, Keeping It and Using It. This guide covers what happens once they are there.
Auto-charge on completion means the moment a job is marked done, the invoice is created and the card on file is charged. The tech does not run a card reader. The office does not batch charges at the end of the day. The work and the payment finish together.
What Happens When the Tech Taps Complete
In the HVACBossPro tech app, each job card shows the address, a navigation button, the equipment details and access notes, past notes, and the Start, Skip and Complete buttons. When the tech finishes and taps Complete:
- The job is marked done, with any before-and-after photos and notes the tech added.
- The invoice is created with the line items on the job and sales tax.
- If auto-charge applies and the customer has a card on file, the card is charged.
- The office sees the completed job and the invoice.
- The customer can see the invoice in the customer app.
If it is a maintenance plan visit, the next tune-up will come due again on the Waiting List on its own, based on the plan's minimum days between visits.
Which Jobs Fit Auto-Charge
Auto-charge works best on jobs where the price is known or approved before the work is finished:
- Tune-ups. A spring or fall tune-up at your set price.
- Maintenance plan visits billed per visit.
- Approved repairs. The customer approved the estimate, the tech did the work.
- Diagnostic-only calls. The customer declined the repair but the diagnostic is owed.
It fits less well on big replacements, where a deposit and a final invoice make more sense. That approach is covered in Deposits on Big HVAC Repairs and Replacements: A Simple Invoice Policy. And for property managers set to Monthly billing, visits roll onto one monthly statement instead of being charged one by one.
Getting the Invoice Right Before Complete
Auto-charge only works if the invoice is right when the tech taps the button. A few habits matter:
- Add lines as you go. If the tech replaces a capacitor and clears the drain line, both go on the job before Complete.
- Use the service list. Prices come from your list, not from memory.
- Confirm with the customer. “It came to the diagnostic, the capacitor and the drain line, and that'll go on your card.”
If something is wrong after the fact, the office has to sort it out with the customer, which takes longer and costs some goodwill. It is better to catch it in the driveway.
Charging on a Schedule Instead
Not every charge belongs at completion. HVACBossPro also lets you charge a card on file on a schedule. Some companies use that for maintenance plans sold as a monthly or yearly price. Others use it to give customers a short window to review the invoice before it is charged. Either way, the invoice and the payment still come from the same job record.
Pick the approach that matches how you sell. A simple rule many owners use: service calls and per-visit tune-ups charge at completion, plan fees charge on a schedule, and property managers get a monthly statement.
What the Office Still Does
Auto-charge does not make the office unnecessary. It moves their attention to the exceptions:
- Declined cards. A charge that does not go through leaves the invoice open. The office points the customer to the customer app to update their card.
- Customers without a card. Their invoices sit in the customer app for online payment, with past-due follow-up by text and email.
- Questions. A customer who texts “what's this charge?” gets an answer through two-way texting, with the invoice and photos in front of the person answering.
Instead of typing every invoice, the office handles the handful that need a person.
Let the Button Do the Billing
The point of auto-charge on completion is simple: the job is not finished until it is paid, and the tap that finishes the job can also get it paid. For more on billing features and the rest of this series, visit the HVACBossPro HVAC invoicing software page.
One Tap, Invoiced and Paid
HVACBossPro creates the invoice when the tech taps Complete and charges the card on file, so billing finishes with the job.
