One Monthly Statement for Property Managers: HVAC Billing for Every Rental Address

Property managers can be some of the best accounts an HVAC company has. They own or manage dozens of homes, every one of them has a furnace and an air conditioner, and tenants call when either stops. They can also be the slowest payers, because they get a separate invoice for every visit and have to match each one to a property. One monthly statement solves most of that.

Why Separate Invoices Fail Property Managers

Plan sign-ups, covered in Signing Up HVAC Maintenance Plan Customers With the Card Captured, are mostly a homeowner story. Property managers buy differently, and they pay differently.

Picture a manager with thirty rental homes. In July, you visit eleven of them: no-cool calls, a few drain lines, a capacitor, a thermostat. Eleven invoices land in their inbox over four weeks. Their bookkeeper has to open each one, figure out which property it belongs to, and pay them one at a time. Some get missed. Some get paid twice. Your office spends August sorting it out.

How Monthly Account Billing Works

In HVACBossPro, one client can have many addresses. A property manager is one client with every rental home or building listed under them. Set that client to Monthly, and instead of a separate invoice per visit, they get one statement each month covering every visit to every address.

Each line on the statement is labeled with the address. The bookkeeper can see at a glance that the capacitor was at 412 Elm and the drain line was at 88 Cedar, Unit B. They pay one bill, and they can charge each line back to the right property in their own books.

What the Tech Sees

Nothing changes for the tech. Each rental address has its own equipment record: system type, brand, model, serial, year installed, tonnage, filter size, unit location and access notes, such as “tenant has two dogs” or “lockbox on the back door, code in notes.” The tech runs the job from the tech app, takes before-and-after photos, and taps Complete.

The difference is on the billing side. The visit goes onto the manager's monthly statement instead of being charged on the spot to a tenant who is not responsible for it.

Setting Up a Property Manager Account

  1. Create the client under the management company's name, with the billing contact's email and phone.
  2. Add every address. For a large portfolio, a CSV import places each address on the map automatically.
  3. Add equipment to each address, or let techs fill it in on the first visit.
  4. Set billing to Monthly.
  5. Agree on approval rules. Ask the manager what a tech can fix without calling, and above what amount they want a quote first. Write it in the client notes.

Tags such as Commercial or a custom field for the manager's internal property codes can make reports and statements easier for both of you.

Tune-Ups Across a Portfolio

Many property managers want every unit checked before summer and before winter. In HVACBossPro, each address can have its own maintenance plan with a minimum of 180 days between visits. Those visits come due on the Waiting List, where the map shows which rentals are due now and which are overdue. The office can group them by neighborhood on the dispatch board and auto-route a van through them.

All of those tune-ups land on the same monthly statement, each labeled by address. A manager who gets one clean statement showing every unit serviced is a manager who renews.

Getting the Statement Paid

Monthly statements still need to be paid. A few habits help:

Smaller landlords with a few rentals fit the same model, with a few differences covered in HVAC Billing for Landlords With a Handful of Rentals.

One Account, One Statement

The fastest way to get paid by a property manager is to make paying you the easiest bill on their desk. One statement, every address labeled, sent on the same day every month. For the full set of billing features and guides, see the HVACBossPro HVAC invoicing software page.
