The HVAC Dispatch Board: Every Van, Every Day and Every Call on One Screen
Every HVAC company has a dispatch board, whether it is software, a whiteboard in the shop or the owner's memory. The question is whether it shows enough to make good decisions quickly. When a homeowner calls at 11am with no cooling and a newborn in the house, the dispatcher needs to see every van's day at once, not flip through three notebooks.
Where the Board Fits
The big picture of HVAC scheduling, from tune-ups to same-day repairs, is laid out in HVAC Dispatch Software: The Complete Guide to Scheduling Service Calls and Tune-Ups. This guide zooms in on the screen where most of that work happens.
In HVACBossPro, the dispatch board is the Scheduled List. Every job that has a day and a van sits there. Jobs that are due but not yet scheduled, such as maintenance tune-ups, wait on the Waiting List until someone assigns them. Once a job is on the board, it shows on the assigned tech's phone in the same order.
What a Job Shows on the Board
A line on an HVAC dispatch board needs to carry more than a name and a street. Each job in HVACBossPro shows:
- The customer and address, including which address when a client has several, such as a landlord with rental homes.
- The job type, such as a diagnostic, a spring tune-up, a drain line clearing or a capacitor replacement.
- The equipment, for example “Central AC + Furnace · Trane XR14 · 3 ton · installed 2012 · filter 16x25x1,” with the serial number on the next line.
- The unit location and access notes: attic with a pull-down ladder, closet off the hallway, gate code, dog in the yard, thermostat on the second floor.
That detail helps the dispatcher estimate time. A heat pump tune-up in a closet is a quicker stop than a no-cool call on an attic unit in August. Knowing which is which keeps the day realistic.
By Day and By Van
The board is organized by day, and within each day by van. You can look at today, tomorrow or later in the week. You can show every van at once to see who has room, or filter to a single van to see one tech's day from first stop to last. The filter is covered in its own guide, Filtering the HVAC Dispatch Board by Van: One Truck's Day at a Glance.
Each van's jobs sit in route order. That order can come from auto-routing, Closest First or Furthest First from the shop, or from the dispatcher setting it by hand. Either way, what the board shows is what the tech sees on the phone.
Making Changes During the Day
An HVAC board that only works at 7am is not much use. The real test is how quickly it changes when the day changes. On the HVACBossPro board you can:
- Add a same-day service call to a van and set where it falls in the route.
- Drag a job to another day when a tune-up customer cancels or a repair runs long.
- Move a job from one van to another when a tech is closer or has the right parts on the truck.
- See skips as they come in, with the tech's note about why.
When a change is made, the tech's list follows. There is no second step of calling the van to read out a new address.
The Board and the Map Together
Two maps sit alongside the board. Crew GPS shows where each van is right now on the office map, which is the fastest way to answer “who is closest to this no-heat call?” The Waiting List map shows every maintenance visit that has come due, colored not due yet, due now and overdue past a seven-day grace. A dispatcher who looks at both maps and the board can fill the day with planned work and still leave a gap for the calls that will come.
What a Good Board Saves
The value of a dispatch board is not in the screen itself. It is in the phone calls that never happen. The tech does not call the office for the next address. The office does not call the tech to ask where they are. The customer does not call the office to ask when the van is coming, because the on-the-way text already told them.
It also saves the quiet mistakes: the tune-up that got written on the wrong day, the repair van sent across town past a tune-up van that was two streets away, the callback that nobody wrote down. One board that everybody reads from removes most of them.
