Saved Views on the HVAC Dispatch Board: Open the Screen You Use Most in One Click
Every dispatcher has a handful of screens they look at over and over. The repair van's day. The tune-up van's day. Tomorrow, all vans. If getting to each one means setting the same filters every time, those clicks add up across a long day of phone calls. Saved views cut them out.
Repetition Is the Clue
The attic-first habit in Scheduling Around Attic Heat: Putting Attic Units Early in the HVAC Route is something you do on the same van's day, every summer morning. Most of dispatch is like that: the same few checks, on the same few screens, many times a day. Anything you do that often is worth making faster.
What a Saved View Is
A saved view remembers how you set up a screen, such as which van is filtered, so you can come back to it in one click rather than rebuilding it each time. Set the board the way you like it, save the view with a name you will recognize, and open it whenever you need it.
The idea is simple, and it is most useful in a busy office where the phone keeps pulling you away from the board. Instead of remembering where you were and re-applying filters, you open the view and you are back.
Views Worth Saving for an HVAC Office
Every company is a little different, but these come up often:
- Repair van. The board filtered to the repair van. The view you check every time a same-day call comes in.
- Tune-up van. The board filtered to the tune-up van. The view you check when you need to know what could move.
- Each tech's van. One per van, for answering a tech's question while looking at exactly what they see.
- All vans. The full board, for deciding who has room.
Name views plainly. “Van 1 — Repairs” is better than “My View 3.” If more than one person in the office uses the board, consistent names help everyone find the same screens.
How Saved Views Fit a Daily Routine
Saved views turn a dispatch routine into a short checklist of clicks. A typical morning:
- Open the all-vans view for today. Anything obviously wrong?
- Open the repair van view. Room for same-day calls? Urgent overnight requests placed first?
- Open the tune-up van view. Attic units early? Customers who need someone home confirmed?
- Check the Waiting List map for what is coming due.
The full routine is in A Daily HVAC Dispatch Routine: Morning, Midday and End of Day.
Saved Views and the Van Filter
Most saved views are built on the van filter, which is covered in Filtering the HVAC Dispatch Board by Van: One Truck's Day at a Glance. The filter does the work of showing one van. The saved view just remembers it. If your vans change, for example a new tech joins and gets Van 4, add a view for it and remove any that no longer apply.
When More Than One Person Touches the Board
In many small HVAC companies, the board is not run by one person all day. The office manager handles it in the morning, the owner checks it from the field at lunch, and a part-timer covers the phones in the afternoon. Each person tends to look at the board a little differently, which is where mix-ups start.
Agreeing on a few standard views helps. If everyone opens “Van 1 — Repairs” when a no-cool call comes in, everyone is looking at the same thing and making the same kind of decision. A new office hire can learn the routine by learning the views, instead of learning which filters the last person liked to use.
Keep It Short
The temptation is to save a view for everything. Resist it. A list of fifteen saved views is nearly as slow as setting the filters yourself. Keep the handful you actually open every day, and delete the ones you have not used in a month. The point is speed.
Why Small Things Matter in Dispatch
None of this is dramatic. A saved view saves a few clicks. But dispatch is made of small, repeated actions, done while a customer is on the phone and another line is ringing. Shaving a few seconds off each one means fewer mistakes made in a hurry, and a dispatcher who is still thinking clearly at 4pm in a heat wave.
A board that is quick to read is also a board that gets read. When checking the repair van's day takes one click, the dispatcher checks it more often, and problems are caught sooner. For the full set of dispatch tools around saved views, visit the HVACBossPro HVAC dispatch software page.
