Auto-Charging HVAC Maintenance Agreement Visits to the Card on File

An agreement program that depends on mailing invoices and waiting for checks spends a lot of office time chasing small amounts. A card on file, charged automatically, takes that work off the desk. The member pays the way they agreed to, and the office moves on.

Getting Paid Is Part of the Promise

Priority service is the member side of the deal, covered in Priority Service for HVAC Maintenance Plan Members: A Policy You Can Keep. Payment is your side. A plan where every visit has to be billed and chased separately is a plan that slowly costs more than it earns.

HVACBossPro supports a card on file for every client, auto-charge on completion or on a schedule, online payment from the customer app, and past-due follow-up for anything that does not go through.

Getting the Card on File

The card goes on file at sign-up, whichever way the member joins:

Make a card on file part of what joining the plan means. A member without a card is a member you will be calling about payment twice a year.

Option One: Charge When the Visit Is Done

The simplest approach is per visit. When the tech finishes the tune-up and taps Complete on their phone, the invoice is created with your plan visit line, and the card on file can be charged right then.

The member gets the invoice and a receipt, and the office does nothing. If the tech found a repair, the plan visit is paid and the repair goes on its own estimate for approval.

Per-visit charging fits members who like paying as they go, and it means you only collect for visits that actually happened. If a visit gets skipped because nobody was home, nothing is charged until it is rebooked and completed.

Option Two: Charge on a Schedule

Some shops prefer to collect the plan fee on its own schedule, separate from the visits. Common setups:

The tradeoff is that a scheduled charge collects money before the visits happen. That is fine as long as the visits actually happen. If the Waiting List is full of overdue members, a member who was charged in March and still has not seen a tech in June has a fair complaint. Charging on a schedule raises the stakes on booking every visit on time.

Scheduled charges give you steadier cash flow and keep billing independent of when the tune-ups land. If you go this way, make the plan visit line on each tune-up invoice show as covered by the plan so the member is not confused by a second charge.

Landlords and Businesses on Monthly Billing

Property managers and businesses work differently. A landlord with fifteen rental homes does not want fifteen separate charges. Set that client to Monthly, and they get one statement each month covering every visit at every address, with each line labeled by address. They pay once. That setup is covered in One Monthly Statement for a Landlord: Billing HVAC Maintenance Agreement Visits by Address.

When a Card Fails

Cards expire, get replaced after fraud, or run up against limits. When a charge does not go through:

Do not let a failed card quietly end a membership. A member whose card expired usually still wants the plan. A quick nudge to update it keeps them on.

Tell Members How They Will Be Charged

Surprise charges cause cancellations. Spell out how billing works on the sign-up form, on the estimate and in the welcome text:

Pick one approach for most members and stick to it so the office can explain it the same way every time. Billing is one piece of the agreement system, alongside the Waiting List, sign-ups and reminders. See it all on the HVAC maintenance agreement software page.

Collect Without Chasing

HVACBossPro charges the card on file when the tech taps Complete or on a schedule, with past-due follow-up for the rest.
