Renewing HVAC Maintenance Agreements Without a Year-End Scramble
Some shops treat renewals as a project. Once a year, someone pulls the list of members whose agreements are expiring, prints letters, makes calls and hopes most of them say yes. A better approach is to make renewal the default, and to earn it with the visits you deliver along the way.
Renewal Is Earned During the Year
Commercial clients on quarterly PM, as covered in Commercial HVAC Service Agreements: Quarterly PM Visits at 90 Days, judge you on whether four visits actually happened. Residential members do the same with two.
By the time renewal comes around, most members have already decided. If they got both tune-ups on time, met a tech who knew their system, and were treated like a member when something broke, they renew without thinking about it. If a visit got missed or they waited weeks past due, no renewal letter will fix that.
That is why the Waiting List matters so much. Every overdue pin is a renewal at risk.
Make Continuing the Default
In HVACBossPro, a plan set by days between visits does not expire on its own. The member keeps coming due on the Waiting List every 180 days, or 365, or 90, until you change the plan. That fits the way most members think: they signed up to have their system looked after, not to re-sign every year.
Make that clear at sign-up. “Your plan continues each year until you tell us to stop” is simple, honest and easy to remember. Put it in the plan description in your service list and on the sign-up page so nobody is surprised.
Billing the Renewal
How renewal billing works depends on how you charge for the plan:
- Per visit. There is no separate renewal charge. The card on file is charged when each tune-up is completed, year after year.
- Yearly. The plan fee is charged to the card on file on a schedule, once a year, usually on or near the sign-up date.
- Monthly. Charges continue on the schedule. Landlords and businesses on monthly account billing see it on their statement.
Whichever you use, a card on file is what makes renewal painless. A member who has to find their wallet and call your office each year is a member who might not get around to it.
A Heads-Up Before the Yearly Charge
If you charge yearly, send a short message a couple of weeks before the charge. Something like: “Your Northside Heating & Air maintenance plan renews on May 3rd. Your card on file will be charged $179. Reply here with any questions.”
That small heads-up prevents surprise charges and the angry calls that come with them. It also gives members with expired cards a chance to update them in the customer app before the charge fails. Two-way texting means any questions come straight to the office.
Raising Prices at Renewal
Costs go up, and eventually your plan price needs to as well. A few practical rules:
- Give notice. Tell members about a price change well before their renewal, not on the receipt.
- Explain briefly. One sentence about rising costs is enough. Members understand.
- Consider holding existing members. Some shops keep long-time members at their current price for a year or two. A custom field for plan price makes it easy to track who pays what.
- Avoid frequent small increases. One change every couple of years is easier for members to accept than a little bump every year.
Landlord and Commercial Renewals
Landlords and commercial clients often think in terms of a contract year. They may want to review the agreement, the properties covered and the price once a year. Make it a habit to check in before their renewal date with a short summary: how many visits were done, what was found, and what is planned for next year. Before-and-after photos and notes from the year make that easy to put together.
This is also when to adjust the addresses on their account. Properties sold, properties bought, systems replaced. Update the plan on each address so the Waiting List stays accurate.
When Someone Does Not Renew
Even with good service, some members leave. They move, money gets tight, or they decide they can do without. Handling that well matters, and finding out why matters even more.
