HVAC Quote Requests From the Customer App: Existing Customers Asking for More Work
Your existing customers are the easiest people to quote. They already trust you, their equipment is already on file, and their card is often already saved. Yet many HVAC companies make them go through the same front door as a stranger: call the office, explain who they are, describe the system again, and wait for a callback.
The customer app gives them a shorter path.
The Door for Customers You Already Have
The last two guides, ending with Converting HVAC Sign-Ups to Clients in One Click, covered how new customers arrive through your website. This guide is about the customers who are already on your books and want something more: a repair, another tune-up, a plan, or a quote for a second system.
What Customers Can Do in the Customer App
The HVACBossPro customer app is where your customers go for everything related to their account. Relevant to quoting, they can:
- Request service. Something is wrong, or they want a tune-up, and they send the request without calling.
- Sign up for services and pricing you offer, such as a maintenance plan, choosing from your own list.
- Update their card, so billing for approved work goes smoothly.
- See invoices and pay online.
They can also see today's route on a live map on their service day (“You're stop 12 of 20 — the crew is 5 stops away”), choose their alerts, and rate and refer your company.
Turning a Request Into a Quote
When an existing customer requests service, the office already knows a lot: the address, the equipment details from past visits, past notes and past estimates. That makes the quote faster and more specific.
- Simple requests, like “I'd like my fall tune-up,” can go straight onto the schedule or get a one-line estimate from the service list.
- Problem requests, like “upstairs isn't cooling,” get a diagnostic quote and a visit. The tech arrives with the system details on the phone.
- Upgrade requests, like “we're thinking about replacing the old furnace,” get a site visit and a replacement estimate. The equipment record already shows the age and size of the current system.
From there, the usual process applies: the customer approves online, follow-up emails go out on unanswered estimates, and the approved estimate becomes the scheduled job.
Plan Sign-Ups From the App
A customer who had a repair last summer and now wants a maintenance plan can sign up from the customer app instead of calling. They pick the plan from the services and pricing you offer, and the office sets up the plan on their client record with the right minimum days between visits. Their first plan visit comes due on the Waiting List.
This is one of the easiest ways to grow plan membership. Mention it on repair invoices and in your thank-you texts: “You can sign up for our maintenance plan any time in the customer app.” The plan itself is described in Quoting HVAC Maintenance Plan Sign-Ups So the Tune-Ups Come Due on Their Own.
Why Existing Customers Deserve a Faster Path
Repeat customers are the cheapest work you will ever win. There is no marketing cost, no trust to build and no need to learn the system from scratch. The only way to lose them is to make doing business with you harder than calling someone new.
The customer app keeps the path short. They request in a minute, you quote from what you already know, they approve online, and the job is scheduled. Two-way texting covers any questions along the way, and replies come back to the office. The less a loyal customer has to repeat about their house and their system, the more likely they are to keep calling you.
Responding to App Requests
Treat app requests like website requests: check them as part of the office's daily routine and respond the same day. A customer who used the app because it was convenient expects a reasonably quick answer. If a request needs a visit, reply with a time or a quote for the diagnostic. If it is a simple tune-up, book it.
For property managers, requests may come in on behalf of tenants at different addresses. Because each rental home is its own address under the manager's client record, the quote and the job land on the right property, and with Monthly billing the work appears on the manager's single monthly statement, labeled with the address.
The next guide looks inside your own company: who should be writing the estimates, techs or the office. For the overview of quoting, approval and scheduling, return to the HVACBossPro HVAC estimate software page.
