Quoting Property Managers With Many Units: HVAC Estimates for Rental Portfolios
A property manager with thirty rental homes is a very different customer from a homeowner. They do not care about the color of the thermostat. They care about tenants not calling them at midnight, about quotes they can forward to an owner for approval, and about invoices their bookkeeper can match to the right property. Get those things right and one property manager can keep a van busy for a good part of the year.
Speed Matters Here Too
Quoting HVAC Work the Same Day: Why a Fast Estimate Often Beats a Cheap One was written mostly about homeowners, but property managers feel the same pressure, multiplied. A tenant with no AC calls the manager every hour until it is fixed. The HVAC company that sends a clear quote fast becomes the one the manager calls first.
One Client, Many Addresses
The first step is setting the account up right. In HVACBossPro a property manager or landlord is one client with many addresses. Each rental home or building is its own address under that client, with its own equipment record and its own access notes.
That means:
- A quote for one house goes on that house's address, and the manager can see which property it is for.
- The equipment details for each house, such as system type, brand, tonnage, filter size and unit location, stay with that house.
- Access notes like lockbox codes, tenant phone notes or “call tenant 30 minutes ahead” stay with the right address.
If the manager sends you a spreadsheet of their properties, a CSV import brings them in, and the imported addresses are placed on the map automatically.
Quoting a Single Repair at One Property
Most property manager quotes are ordinary repair estimates at one address. Write them exactly as you would for a homeowner, with plain lines from your service list, a clear description and sales tax, but keep in mind who will read it. The manager may forward it to an owner who has never seen the house. Make the address obvious, put the equipment details on it, and say briefly why the work is needed.
Photos from the tech app help a lot here. An owner three states away approves a repair faster when they can see the corroded contactor.
Quoting Work Across Many Units
Spring tune-ups across a whole portfolio, filter changes on every rental, or a round of drain line flushes before summer are common property manager quotes. Keep them simple:
- One line per address. “Spring AC tune-up — 412 Oak St,” “Spring AC tune-up — 1180 Elm Ave,” and so on, so the manager can see exactly which properties are included.
- Per-unit pricing. The same tune-up price from the service list for each house, unless you offer a portfolio price, which is your call.
- Notes on exceptions. If one house has two systems or a rooftop unit, give it its own line.
Some managers prefer a separate estimate per property so each owner approves their own. Others want one estimate for the portfolio. Ask which they prefer and do it their way every time.
Maintenance Plans for Rentals
A maintenance plan on each rental home is often an easy sell to property managers, because twice-a-year tune-ups mean fewer emergency calls from tenants. Quote it the same way you would for a homeowner, as described in Quoting HVAC Maintenance Plan Sign-Ups So the Tune-Ups Come Due on Their Own. Once set up, each address comes due on the Waiting List on its own schedule, by minimum days between visits, so you can group a manager's properties by area and run them on one route.
One Statement a Month
Property managers do not want thirty separate invoices. In HVACBossPro, a client set to Monthly gets one statement each month covering every rental home or building, with each line labeled with the address. Their bookkeeper can match every charge to the right property, and you are not chasing thirty small payments.
Mention this on the first estimate. “All work is billed on one monthly statement, with each line labeled by property” is a real selling point to a manager who is used to a pile of separate invoices.
Approvals and Follow-Up
Property managers often have to get an owner's approval, which slows things down. Online approval helps because the manager can approve the moment they hear back. Estimate follow-up emails keep the quote from getting lost in a busy manager's inbox. On larger portfolio quotes, a two-way text to check on status is welcome rather than pushy.
Commercial buildings bring their own quoting questions, which the next guide covers. For the overview of quoting, approvals and monthly billing, return to the HVACBossPro HVAC estimate software page.
