The HVAC Tech App: What Your Technicians See on Their Phones
HVAC software lives or dies in the van. The office can have the best records in the world, but if the tech cannot find the filter size in two seconds with a gauge set in one hand, they will call the office instead. This guide walks through what an HVAC tech actually sees in the HVACBossPro tech app, from login to the last call of the day.
The Other End of the Dispatch Board
The HVAC Dispatch Board: Days, Vans and Route Order on One Screen covered how the office builds the day. The tech app is where that day lands. Whatever order the office sets on the board is the order on the tech's phone, and when the office moves a job, the phone updates.
Logging In: No App Store
The tech app runs in the browser on iPhone and Android and can be installed to the home screen so it opens like any other app. There is no app store download, no special device and nothing for the owner to buy. Techs use the phones they already carry.
Each tech signs in with your company login and their own personal PIN. That way every Start, Complete, photo and clock-in belongs to the right person, and when someone leaves the company, turning off their PIN turns off their access.
The Day in Route Order
The first screen is the tech's calls for the day, in route order. Each card shows:
- The customer and address, with a navigation button that opens directions in one tap.
- The kind of visit: a spring tune-up, a no-heat call, a replacement estimate.
- The equipment line: “Central AC + Furnace · Trane XR14 · 3 ton · installed 2012 · filter 16x25x1,” with the serial number on the next line.
- Access notes: attic ladder, gate code, dog, thermostat location.
- Past notes from earlier visits, so the tech knows the drain line clogged last fall or the customer asked about a new thermostat.
A tech can scroll the whole day in the morning and load the van with the right filters before leaving the shop.
Start, Skip, Complete
Three buttons run the day:
- Start. The tech is heading to the job. The customer gets an automatic “on the way” text, and an “arrived” text follows when the tech gets there.
- Skip. The job cannot be done: nobody home, could not get to the unit, customer cancelled at the door. The tech adds a note saying why, and the office sees it.
- Complete. The work is done. Notes and photos are saved with the job, the invoice is created, and the card on file can be charged.
That is the whole workflow. No forms to fill in between stops, nothing to remember to send at the end of the day.
Photos and Notes
Before-and-after photos taken in the app stay with the job. HVAC techs use them for:
- Data plates, so the office can fill in or correct the brand, model and serial.
- Dirty filters and coils, so the customer sees why the tune-up mattered.
- Problems found, like a bulging capacitor, a clogged drain line or a rusted pan, to back up a repair estimate.
- Finished work, for the day someone asks whether the coil really got cleaned.
Job notes matter as much as photos. A good note tells the next tech what they need: “Cleared condensate line, recommend float switch next visit. Customer wants quote on thermostat.”
Getting Paid From the Driveway
When the tech taps Complete, the invoice is created with your line items and sales tax, and a card on file can be charged before the van leaves. For customers without a card on file, the invoice is waiting in the customer app, where they can pay online. The billing side is covered in HVAC Invoicing and Card on File: Getting Paid When the Job Is Done.
Time Clock and Crew GPS
Techs clock in and out on the same phone, so hours are recorded as they happen instead of reconstructed on Friday. Crew GPS shows each van on the office map. When a new call comes in, the office can see who is closest and slot it into their route, and the tech's phone shows the new job in its place.
Why Simplicity Wins in the Field
HVAC techs are skilled people doing physical work in attics, crawlspaces and side yards. They do not want to be data-entry clerks. A tech app that asks for a few taps per call and gives back the address, the equipment, the way in and a quieter phone will get used. One that asks for more will be worked around.
That is why the HVACBossPro tech app keeps it to route order, the job card, three buttons, photos and notes. To see how it fits with the rest of the system, visit the HVAC software page.
