Logging In to the HVAC Tech App: Company Login Plus a Personal PIN
Every HVAC company has a story about a shared password. It was written on the inside of a van visor, or it was the owner's email login, or it was the same four digits for everyone and nobody could tell who completed what. Logins are boring until the day you need to know who was at a house.
Two Pieces: Company and Person
Once the app is on the phone, as covered in Installing the HVAC Tech App From the Browser: No App Store, No Waiting, the tech logs in.
HVACBossPro splits the login into two parts. The company login tells the app which business this is, so the tech sees your customers, your calls and your equipment records. The personal PIN tells the app which tech is holding the phone. Each employee gets their own PIN, set up by the office.
That split is what makes the rest of the app trustworthy. When a call is started, completed or skipped, it is tied to the tech whose PIN is in. When a photo of a burnt contactor is taken, the app knows who took it. When someone clocks in, it is their hours that start.
Why Not One Shared Login
A single shared login looks easier on day one. It falls apart fast:
- No record of who did what. A customer says the tech never checked the drain line. Which tech? With a shared login, nobody knows.
- No clean way to remove access. When a tech leaves, you have to change the password for everyone and then hand it out again.
- Hours get mixed. A time clock on a shared login is a guess.
- Lists get mixed. Every tech sees every call, so the repair tech starts scrolling through the tune-up van's day.
A personal PIN fixes all four. Each tech sees their own calls, and their work carries their name.
Setting Up PINs in the Office
Employees are added in the office side of HVACBossPro, each with a personal PIN and a van assignment. A few habits keep it clean:
- One person, one PIN. Even if two techs ride together, each gets their own.
- Do not reuse PINs. A new hire gets a new PIN, not the one from the tech who left.
- Set it up before day one. A new tech should not stand in the shop while the office figures out the employee screen.
- Assign the van. The van assignment is what puts the right calls on the right phone.
When a Tech Leaves
This is where the PIN pays for itself. When someone leaves the company, the office turns off their PIN. That is it. They can no longer see your customers, their addresses, gate codes or the equipment in their homes. No one else has to learn a new password, and nothing changes for the rest of the crew.
Compare that to the old way, where a former tech still has every gate code ever posted in the group text on their personal phone. Access notes are covered in Unit Location and Access Notes: Attic Ladders, Gate Codes and Dogs in the HVAC Tech App, and the PIN is what keeps those notes private.
Shared Phones and Ride-Alongs
Some companies keep a phone in each van instead of using personal phones. The PIN still works. The tech who takes the van that morning logs in with their own PIN, and the phone shows their calls. At the end of the day they log out, and tomorrow's tech logs in. The tradeoffs are laid out in Shared Phones or Personal Phones: Setting Up the HVAC Tech App for Your Crew.
On a ride-along, the senior tech usually stays logged in and runs the app while the new tech watches. Once the new tech is running calls on their own, they log in with their own PIN so their work carries their name from the first solo call.
Forgotten PINs and Other Small Things
Someone will forget their PIN. Usually on a cold morning in the driveway of the first call. The office can look it up or reset it on the employee screen. A text from the office is faster than any password reset email.
Keep PINs off the van visor and out of the group text. The point of a personal PIN is that it is personal. If a tech thinks theirs got out, change it.
Logging in is about thirty seconds of a tech's day. Getting it right means every Start, Complete, photo and clock-in carries the right name for as long as you keep the record. For everything that comes after the login, see the HVAC technician app page.
A Personal PIN for Every Tech
HVACBossPro ties every call, photo and clock-in to the tech who did it, and turning off a PIN turns off access.
