Onboarding a New HVAC Tech on the App in One Ride-Along

A new HVAC tech has plenty to learn in their first week: your trucks, your service area, your way of talking to customers, your standards on a tune-up. The software should be the smallest item on that list. If the app takes a week of training, it is the wrong app. If it takes one ride-along, it is doing its job.

Before Day One

Knowing where every van is, as covered in Crew GPS on the Office Map: Knowing Where Every HVAC Van Is, starts with each new tech having the app set up correctly from the start.

A few things to do in the office before the new tech shows up:

Having the PIN ready means the first morning starts with the work, not with someone fumbling through the employee screen.

The First Ten Minutes in the Shop

Install and log in together before the van leaves. On an iPhone it goes through Safari and “Add to Home Screen.” On Android it goes through Chrome and “Install app” or “Add to Home screen.” The full steps are in Installing the HVAC Tech App From the Browser: No App Store, No Waiting.

Then:

  1. Log in with the company login and their PIN.
  2. Allow location and camera when the phone asks.
  3. Clock in.
  4. Look at the senior tech's list for the day together.

The Ride-Along: Watch, Then Do

The senior tech runs the first couple of calls from their own phone while the new tech watches. At each one, the senior tech says out loud what they are doing in the app:

By the third call, the new tech holds the phone and does the taps while the senior tech watches. By the afternoon, the new tech is running the app on every call and the senior tech is just doing the work.

What to Focus On

Not every feature needs the same attention on day one. Focus on the habits that matter most:

Everything else, the customer texts, the invoice, the card on file, happens on its own when those habits are in place. The new tech does not need to learn the billing side to make it work.

Their First Solo Day

On the first solo day, give the new tech a forgiving list. Tune-ups in a familiar area are a good start. The equipment card does a lot of the heavy lifting: the tech knows the system, the filter size and where the unit is before walking in, even at a house they have never seen.

Keep the office close. The dispatcher should check in once or twice and be ready for a text if something on the app is confusing. Watch the board: are calls being started and completed as they happen? Are photos attached? Are notes written? If so, the new tech is fine.

The First Week

After a few days, sit down for five minutes and look at their completed calls together. Pick one good note and one vague one and talk about the difference. Look at the photos. Ask what was confusing.

Most of the time, the answer is “nothing, it's easy.” That is the point. A tech app built around the way HVAC techs already work, the next call, the equipment, the photos, should feel obvious within a day. If it does not, that is worth hearing, and Mistakes to Avoid When Rolling Out an HVAC Tech App covers the usual causes.

One ride-along, one forgiving solo day and a quick check-in at the end of the week is all most new techs need. For everything the new tech will be using, see the HVAC technician app page.
