Proof-of-Service Photos Property Managers Actually Want From Their HVAC Company
A homeowner can walk out back and look at the condenser. A property manager with forty rentals cannot. A building owner is not climbing onto the roof to see whether the filters were changed. For these customers, the only way to see your work is a photo. The HVAC company that sends good photos becomes the one they trust.
Why Managers Need Proof
Getting the timing right, covered in Scheduling Commercial HVAC Work Around Business Hours, gets the work done. Photos prove it was done.
Property managers answer to owners. When an owner asks why the HVAC bill was high this month, the manager needs to show what was done. When a tenant claims the air has not worked for weeks, the manager needs to show it was serviced. When a repair quote comes in, the manager needs to show the owner why it is needed. In every case, a photo settles it faster than any explanation.
How Photos Work in HVACBossPro
Techs take before and after photos right in the tech app on their phone. The photos are saved with the job, on the address, under the account. The office can see them as soon as the job is completed. Months later, anyone in the office can open that job and pull them up.
The tech does not need a separate camera app, a shared drive or a group text. The photo goes where the job is.
The Photos Worth Taking
Not every photo is useful. A blurry shot of a condenser from across the yard proves nothing. The ones managers actually want show a change or a condition:
- Old filter next to new filter. The single most requested photo on rental and commercial work. It shows the work was done and why it mattered.
- Data plate. Taken once on the first visit, it backs up the equipment record with brand, model and serial.
- Drain line and pan. A clogged line before and a clear line after. Water damage is a manager's nightmare.
- Coils before and after cleaning. Dirty coils are easy to see and easy to understand.
- The failed part. A bulging capacitor, a burnt contactor, a cracked belt. It shows exactly what the repair was for.
- The problem you found but did not fix. A rusted pan, corroded wiring, a damaged duct. This supports the quote.
Photos That Sell the Repair
A repair estimate with no photo is a number. A repair estimate with a photo of the rusted drain pan is a decision. When a tech finds something that needs work, the photo goes with the estimate. The manager can approve online and send the photo to the owner in the same minute.
Approved estimates become scheduled jobs, so the repair is on the board without anybody retyping it. Quoting is covered in Quoting Commercial HVAC Work With Online Approval.
Photos That Settle Disputes
Rentals bring disputes. A tenant moves out and claims the system never worked. A new tenant says the unit was filthy at move-in. An owner questions a charge on the monthly statement. Every one of these goes away with a dated photo saved on the job.
Because the photo is tied to the job and the job is tied to the address, the office can find it fast. Open the address, find the date, open the job, and share the photo with the manager. Done.
Make It a Habit, Not a Chore
Photos only help if techs take them every time. A few habits make that easy:
- Pick two or three standard photos per job type and stick to them. Filter before and after on every tune-up. Failed part on every repair.
- Take the “before” photo first, right after tapping Start, before anything is touched.
- Hold the old filter in frame with the new one so one photo tells the story.
- For rooftop units, include the unit label or suite marker in the frame so nobody wonders which unit it is.
New techs pick it up quickly when it is part of every job from day one, especially when they see a photo end an argument with a tenant.
Send Them Without Being Asked
The best managers' vendors send proof before anyone asks. When a tech completes a turnover check or finds a problem, the office can text the manager a quick heads-up through two-way texting and share the photos. It takes a minute and tells the manager the work is handled.
