Switching HVAC Software Without Losing Customers or Tune-Up Dates
Switching from paper is one thing. Switching from software you already pay for is another. You have years of customers in it, maintenance agreements with dates attached, and maybe some equipment records. The fear is that something gets lost in the move: a plan customer who never gets their fall tune-up, or an unpaid invoice that disappears. With a little planning, nothing has to.
Demo Done, Decision Made
If you have been through the checklist in What to Look for in an HVAC Software Demo and decided to move, this guide covers the switch itself. The steps are the same whether you are leaving generic field-service software, one of the big enterprise HVAC platforms, or a pile of spreadsheets.
Why Small Shops Switch
It helps to be clear on why you are moving, so you can check the new system actually fixes it:
- The price grew faster than the company. Per-user or per-tech pricing adds up as you hire.
- It does not know HVAC. Equipment lives in a notes box, and tune-ups are tracked by hand.
- Techs will not use it. The field app is slow or confusing, so they call the office instead.
- It was built for someone bigger. Screens and setup made for a company with a call center.
Export Everything Before You Cancel
Do not cancel the old system until you have your data out. Look for export options and pull:
- Customers and addresses, as a CSV or spreadsheet.
- Maintenance agreements, with each customer's last visit date if you can get it.
- Equipment records, if the old system kept them.
- Open invoices, so you know who owes what on the day you switch.
- Upcoming scheduled jobs, so nothing booked gets dropped.
Keep the old system running, read-only if you can, for a month or two after the switch. It is your safety net for questions like “what did we do there in 2023?”
Import Into the New System
In HVACBossPro, a CSV import brings in customers and addresses, and imported addresses are placed on the map automatically. The details are in Moving Your Customer List Into HVAC Software With a CSV Import.
After the import:
- Check the map for pins in the wrong place and fix those addresses.
- Group multi-address clients like property managers under one client, and set them to Monthly if they get one statement.
- Tag maintenance customers and enter any equipment you exported.
Protect the Tune-Up Dates
Maintenance agreements are what you most need to get right. In HVACBossPro, each agreement has a minimum number of days between visits: 180 for spring and fall, 365 for yearly. Visits come due on the Waiting List based on that interval.
When switching, set up each plan customer with their interval and make sure their timing reflects when they were last seen, so they come due when they should and not all at once. Work through plan customers before anything else in the setup; they are the ones who notice if you forget them.
For the first season, compare the Waiting List against your exported list of plan customers. Anyone on the old list who is not showing up as expected gets fixed by hand.
Handle Open Invoices and Booked Jobs
Pick a cutover day. On that day:
- Open invoices from before the cutover can be collected in the old system or re-entered in the new one. Decide once and stick to it, so customers do not get two bills.
- Booked jobs from the cutover forward go on the HVACBossPro dispatch board by van and day.
- Cards on file usually cannot be moved between systems. Ask customers to add a card in the customer app, or collect it at their next visit.
Time the Switch Around the Seasons
The best time to switch is in the shoulder weeks, after one season's rush and before the next. The phone is quieter, techs have time for a ride-along, and the office can check every plan customer without pressure. Switching in the middle of the first heat wave is possible, but it means learning a new system while everyone is already stretched. If you have a choice, pick the quiet weeks.
Tell the Crew and the Customers
Techs need a morning with the new tech app before cutover. It runs on their own phones in the browser, with a company login and a personal PIN, so there is nothing to install from an app store.
Customers need to hear nothing dramatic. A short text that says invoices and reminders will now come from a new system, and how to use the customer app, is enough.
Plan the first week carefully, as covered next in Setting Up HVAC Software in Your First Week: A Day-by-Day Plan. To see the system you are moving to, visit the HVAC software page.
Move Without Losing a Customer
HVACBossPro imports your customers by CSV, places them on the map and brings maintenance tune-ups due on the Waiting List.
